This is not the HR system you are looking for<\/h3>\n

No one\u2019s saying leave management isn\u2019t exciting *wink*, but we\u2019re impressed by the HR functions offered by the accounting systems Synergy integrates with \u2014 Xero<\/a>, MYOB AccountRight Live, and QuickBooks Online. They do the trick managing leave requests from an HR perspective. We weren\u2019t about to reinvent that wheel with this release. We\u2019re deliberately NOT trying to be an HR system at this point.<\/p>\n

So, what are we doing? The availability planner<\/a> is an extension to Synergy\u2019s resource planning<\/a> module. Look at it like this \u2014 when I\u2019m long-term planning, and I\u2019m trying to work out who to put on a project, if a staff member has extended upcoming absences from the business then I need to take that into account while I\u2019m deciding who my team\u2019s going to be. The availability planner lets me do that at a glance.<\/p>\n

\"Resource<\/p>\n

Leave vs availability<\/h3>\n

The reason this feature is not called \u2018leave management\u2019 is twofold. Firstly, you and your project team\u2019s availability can be affected by lots of things that aren\u2019t \u2018leave\u2019. They\u2019re work<\/a>. So, as an example, a colleague and I are going to England for two weeks \u2014 we\u2019re going to be working our rear ends off the whole time because we\u2019re doing business development. Maybe you\u2019re going to a conference, presenting at a professional event \u2014 that\u2019s business development. Or, you might be going to a management retreat for a week. These things are not leave, they\u2019re work. You\u2019re not sick or on holiday, you\u2019re doing unbillable but valuable<\/a> business activities.<\/p>\n

I don\u2019t put a leave request into the HR system for this, because HR doesn\u2019t care \u2014 it\u2019s not part of the accounting system. But it is something that the planning people, the project managers, need to take into account. What we\u2019ve done is to offer a simple way for staff to log an event in Synergy (with or without an approval process) to inform management of any time they\u2019ll be unavailable to work on projects<\/a>, for whatever reason. Outside of the HR system.<\/p>\n

So, you say to your boss, \u201cI\u2019d like to take some professional development time for this event\u201d. If you\u2019re a boss, we\u2019ve given you tools where you can, in response to that request, easily check who else is going to be absent at the same time. You can see what projects that staff member is working on, see which other staff members are working on that project, and assess how their period of absence might impact project delivery. What you\u2019re looking for is projects which might be finishing or have important deadlines around or during the requested absence.<\/p>\n

The two steps to availability<\/h3>\n

The second reason we call it \u2018availability\u2019 instead of \u2018leave\u2019 is that there\u2019s an overlap when the reason I have an absence is because of leave. Because then<\/em><\/strong> it has to be in both my resource planning system, and the HR system. Our recommended workflow is a two-step process (it\u2019s probably a two-step process anyway).<\/p>\n

The first step is the boss checks, \u201ccan we afford for you to be absent at this particular time?\u201d. If the answer\u2019s yes, she ticks a box to say that\u2019s ok.<\/p>\n

Then you go to your HR division and say, \u201cI\u2019m allowed to take two weeks off\u201d. At that point you\u2019re negotiating whether you have enough annual leave, or if you need to take some annual leave and some unpaid leave, and that kind of stuff. That\u2019s HR\u2019s game, we\u2019re only focused on the project management side.<\/p>\n

Clear and present (un)availability<\/h3>\n

Synergy\u2019s availability planner is all about transparency. You get a snapshot of how unavailability will impact project delivery. This facilitates portfolio managers and the like to form better and clearer strategic plans for their architecture, engineering and construction design practice. And that means more time for design<\/a>.<\/p>\n
